Quick answer: To host a paid webinar online, you need a platform that handles registration and payment together (not two separate tools), a pricing model that fits your audience (one-time ticket, tiered access, or bundled with a course), and a promotion timeline that starts at least 10 to 14 days before the live date. Most first-time hosts lose money not because the webinar was bad, but because the checkout process was clunky or the promotion started too late. This guide walks through all three pieces so you can go from "I have an idea for a webinar" to "people paid to attend it."
What You Need Before You Host a Paid Webinar
Before picking a platform or setting a price, get these five things sorted:

A clear, narrow topic. "Everything about digital marketing" doesn't sell. "How to get your first 100 paying clients using Instagram DMs" does.

A specific outcome for attendees. People pay for a result, not for information. Decide what someone should be able to do differently after your webinar.

A date and time that fits your audience's schedule. For Indian audiences, evenings (7 to 9 PM) on weekdays or weekend mornings tend to get the highest show-up rates.

A landing page. You need a page that explains what the webinar covers, who it's for, and what it costs, separate from your social media bio link.

A way to collect payment before someone gets the join link. This is where most creators get stuck using tools that were never built for paid, ticketed events.

Choosing the Right Webinar Platform
Zoom and Google Meet are built for meetings, not for selling access to an event. If you're charging for a webinar, look for a platform that gives you all of the following in one place:

Built-in registration and payment, so people pay and get added to the webinar automatically, without you manually sending links after checking a payment screenshot.

A branded landing page you can edit yourself, without hiring a developer.

Automated reminder emails, since a webinar with no reminder sequence typically sees 30 to 40% fewer people actually show up compared to one with a proper sequence.

Recording and replay access, so paying attendees who miss the live session (and there will always be some) still feel they got what they paid for.

Low or zero transaction fees, since platforms that take a cut of every ticket sold can quietly eat 5 to 10% of your revenue on top of payment gateway charges.

This is exactly the gap Gyaankool is built to close. Instead of stitching together a Zoom link, a separate payment page, and a manual email reminder, Gyaankool lets you set up registration, checkout, and the live session inside one dashboard, with zero transaction fees on what you sell.
How to Price a Paid Webinar
There's no single "correct" price, but there are four common pricing models worth testing:1. Flat one-time ticket A single price for entry, usually anywhere from ₹199 to ₹2,999 depending on your niche and how established you are. Good for testing demand with a new audience.2. Tiered pricing Offer a basic ticket (live access only) and a premium ticket (live access plus recording, a workbook, or a follow-up Q&A). Tiered pricing typically increases average revenue per attendee by giving people a reason to pay more without changing the core content.3. Bundled with a course or community Price the webinar as the entry point into something bigger, either a discounted or free webinar that leads into a paid course, or a webinar included as part of a paid community membership. This works well if your real goal is long-term revenue, not the webinar itself.4. Pay-what-you-can or free-plus-upsell Free registration, with a paid upsell (a course, template, or 1:1 call) offered live during the session. This is common for creators still building an audience, but it depends heavily on having a strong offer to pitch during the webinar.A simple rule of thumb: if this is your first paid webinar with an existing audience under 1,000 people, price low enough that the decision to buy is easy (under ₹500), and focus on proving the format works before raising prices.
Promotion Checklist
Use this as a working checklist rather than reading it as advice, and adjust the exact days to fit your webinar date.14 days before

Landing page live with clear title, date, time, price, and what attendees get

Announce on your primary social channel with a link to register

Set up your reminder email or WhatsApp sequence in advance

7 days before

Second announcement post, this time featuring a specific takeaway or result attendees will get

Start running any paid promotion (Instagram/Facebook ads) if you're using it

Send an email to your existing list if you have one

3 days before

Post a short video or reel explaining one useful tip related to the topic, to build trust before asking for the sale again

Send a reminder to everyone already registered, confirming the join details

1 day before

Final reminder to your list and registered attendees

Post one last "doors closing soon" style announcement if registration is still open

Day of

Reminder message 1 hour before and again 10 minutes before the session starts

Have your join link and any resources ready to share the moment the session begins

After the webinar

Send the recording to paid attendees within 24 hours

Follow up with anyone who registered but didn't attend, offering the replay

If you pitched an offer live, send a follow-up email or message within 48 hours while it's still fresh

Common Mistakes to Avoid

Starting promotion too late. Under a week of promotion time is the single biggest reason paid webinars undersell.

No replay for paying attendees. If someone pays and misses it live with no replay offered, expect refund requests and lower trust for your next launch.

Manual payment verification. Asking people to pay via UPI and send a screenshot before manually adding them to a list doesn't scale past a handful of attendees and creates drop-off at checkout.

Pricing based on guesswork alone. Look at what similar creators in your niche charge for comparable sessions before settling on a number.

Frequently Asked Questions
How much should I charge for my first paid webinar? For a first paid webinar with a smaller or newer audience, pricing between ₹199 and ₹499 is common. It lowers the barrier to buy while still filtering for people who are seriously interested. Can I host a paid webinar without coding or a developer? Yes. Platforms like Gyaankool let you build a registration and payment page, automate reminder emails, and run the live session without any technical setup. What's the difference between a webinar and a workshop? The terms are often used interchangeably, but a webinar usually refers to a shorter, more presentation-style session, while a workshop tends to be longer and more hands-on or interactive. Pricing and promotion strategies are largely the same for both. Do I need a separate payment gateway for a paid webinar? Not if your platform has payments built in. Using a platform with integrated checkout, like Gyaankool, removes the need to connect and manage a separate payment gateway yourself.
